MyConferenceTime admins have the ability to archive old schedules. This is useful if your school wants to keep a conference schedule but does not want it available to parents, staff members, etc. A schedule that is archived is available only to admins from the Schedule Summary page.

A schedule that is archived is different than a schedule that is "not visible." A schedule that is "not visible" can be seen by staff members (teachers) who are logged in, and student data is accessible to parents (for example, if a parent searches for conferences for which they are registered). Also, "not visible" schedules/conferences count toward any conference limits that you may have imposed in Advanced Settings. "Archived" schedules are not accessible to parents or non-admin staff members. Also, archived schedules/conferences do not count toward student/parent limits which may have been enabled in Advanced Settings.

A schedule that is archived is different than a schedule that has been deleted. When a schedule is deleted, it is permanently removed from MyConferenceTime. When a schedule is archived, it is similar to it being placed in a storage box for later retrieval if needed. See the directions at the bottom of this help article to access/retrieve an archived schedule.

Archiving a schedule is useful if you want to keep a the schedule so that you can later refer to the dates/times on the schedule, or if you think you will need the conference data at a later time but do not want the schedules "cluttering" the "not visible" list of schedules.

Admins can use the Schedule Summary to archive schedules using these directions:

  1. Go to Summaries -> Schedule Summary.
  2. Use the checkbox(es) to select the schedule(s) to be archived
  3. Using the "with selected" dropdown menu above the list of schedules, select "archive."

After a schedule is archived, it is accessible from the Schedule Summary to admins only. To view, edit or delete an archived schedule, please use these directions: Archived Schedules - viewing, editing, deleting.
